Automating Clients’ Pregnancy Status Update

Clients in the TAFDC, EAEDC and SNAP programs are required to report changes in their household circumstances within 10 days of their occurrence, including a change in pregnancy status.  It is important that the birth of a new household member be reported, or that a pregnancy has otherwise ended, so that TAFDC, EAEDC and SNAP program eligibility, program requirements and benefit levels can be determined accurately and timely.

When pregnancy is reported and verified for a household member, you must enter the information, including the due date, on the Pregnancy page in the AU Composition Details workflow.

Important:: If you are a cash case manager, you should monitor the Pregnancy view in your Assessed Person Potential Changes View for any pregnancy due dates, daily. As soon as the date has passed for a client on the view, schedule an appointment for the grantee from the Schedule Appointment page to update the household’s circumstances

Cash Households

If 30 days after the due date on the Pregnancy page for a cash household member, no change has been entered on the pregnancy status, the household member will automatically be sent a Pregnancy Information Update notice.  The notice instructs the household member to contact the case manager identified on the notice within 10 days (of the notice date) to report the change in the household’s circumstances relative to her pregnancy status.

SNAP Households

If 30 days after the due date on the Pregnancy page for a SNAP-only household member, no change has been entered on the pregnancy status, the household member will automatically be sent a Pregnancy Information Update notice.  The notice instructs the household member to call the DTA Assistance Line at 1-877-382-2363 within 10 days of the notice date. See SNAP: First Available Worker (FAW) Model.

The notice contains the standard notice language advising the client to call the DTA Assistance Line phone number on the notice and ask for help from a Client Assistance Coordinator, if help is needed because of a disability to comply with the request.

The Pregnancy Information Update notice is available in English and Spanish.

Note: If there is an accommodation on the ADA Accommodation page which indicates an assisting person is needed to help the client read notices, the assisting person will receive a copy of the Pregnancy Information Update notice.

Automated TAFDC and EAEDC Case Closing

A BEACON automated process will monitor the Pregnancy page.  If the Pregnancy page is not updated within 20 days of the Pregnancy Information Update notice date for a TAFDC or EAEDC household member, the TAFDC or EAEDC case will be closed automatically for failing to submit the required verification.

Note: If the cash portion of a TAFDC or EAEDC case with SNAP benefits (PA/SNAP) is closed, the SNAP benefits will DEVER (remain open) and be classified as Non Public Assistance (NPA) SNAP benefits. The SNAP certification period will vary depending on the SNAP household’s reporting requirements. See SNAP Reporting Requirements and Recertifications.
