Daily Priority Actions Views

The Daily Priority Actions group consists of views that must be reviewed daily by case managers. Supervisors must ensure that case managers are taking the required actions in a timely manner.


AUs for Possible SSS Assignment

This view lists all TAFDC grantees in a TAO who are heads of household and are age 23 (up to their 24th birthday) and younger and who are therefore eligible for the services of a Self-Sufficiency Specialist (SSS). Self-Sufficiency approvers (TAO directors/designees) will check this view daily to see which clients have been recommended for the services of an SSS.


Client Info Update DTA Connect

This view lists grantees who have updated their information or household circumstances in DTA Connect. This view also has columns to alert you of the update type made, the date the update was received, and the case status.

The updates will no longer appear on the view once all required edit pencils associated with a client’s updates have been removed from their electronic case folder (ECF), and a wrap-up of the case is completed. These updates can also be dispositioned manually within the view.


Available/Reviewed Scanned Documents

This view lists documents that are scanned in from the DTA Document Processing Center. They are sorted by grantee.


Documents Sent For Past Week

This view lists documents such as letters, notices and forms sent to a client the previous week. They are sorted by grantee.

This view lists the clients along with each document type and the date the document was sent or the date the document was printed. If the online document was printed locally, the view display will be immediate. If the document was printed centrally, the document will be sent to the grantee in the nightly batch job and display on the view the following day.

The client will no longer appear on this view once there are no documents that have been sent to the client in the past week.


Dual Participation

This view lists the members of pending and active TAFDC/EAEDC cases who are members of a second TAFDC/EAEDC case, when both cases are the same category.


EBT Review – Tracking/Case Manager

This view lists all clients in the TAO with an EBT Request Status of Pending Approval. Clients appear on this view if their current replacement request does not have a Not Countable reason, and the Countable counter is at 4 or more replacement cards within the last 12 months. The client will remain on the view until the EBT Card Request/Review tab is completed.


EBT Review – Tracking/EBT Team

This view lists the names of clients referred to the EBT Team with an EBT card replacement request. Each outstanding request will remain on the view until the review by the EBT Team is complete (that is, all fields on the EBT Team Review tab are completed).


Interviews In Progress

This view lists households where there is a page in the interview with a Requires Reedit indicator.

The client will no longer appear on this view when all pages requiring reedits have been completed.


Interview Wrapup - Pending Authorization

This view lists requests for assistance that need authorization.  Requests will only be displayed for this view when the required authorizer, if appropriate, has previously authorized the request.  For example, a request for a director’s authorization will not be displayed until the previous authorizer, such as a TAO supervisor, has approved the request. Generally, you do not need to respond to this view.

The client will no longer appear on the view once the request is authorized as either Approved or Rejected within the Interview Wrapup Request Authorization page.


Interview Wrapup - Pending Release

This view lists all cases for which you have completed a review or an action that has been authorized by your supervisor and is scheduled to be released. The view lists pending release Electronic Benefit Calculation (EBC) requests and their appeal status, if any, and is sorted by Release Date.

The client will no longer appear on this view when the EBC request no longer has a status of Pending Release (i.e., has either been released to FMCS or deleted by the user).


Interview Wrapup - Rejected Authorization

This view allows you to identify requests that have a rejected authorization from any authorization level. You can then view the rejected request and take appropriate action to correct the reason for rejection. You must establish a new authorization and submit it for approval and delete rejected requests within the Interview Wrapup Request Authorization page. The view is sorted by Release Date.

The client will no longer appear on the view once you delete the Rejected Request within the Interview Wrapup Request page.


IVR Requests – Unvalidated Address

This view includes a list of address changes received on the Internal Voice Recognition (IVR) line that needs to be validated.


Most Recently Updated Households

This view lists the last 10 households you have accessed, using any workflow when not in Inquiry Only mode (when you select a client who has a household ID, and open a page and click Next or Finish from the page). The view lists Client Name, SSN and Last Updated Date. It is sorted alphabetically by the client’s last name. This view is for informational purposes only.


No Trespass Orders

This will list all existing No Trespass orders with and without attached scanned documents for all active clients and basic persons with such orders.


Pending Applications Assigned to Another TAO

This view lists the names of applicants who had their application taken by you with a Pending or Active case existing in another TAO. The applicant will display on this view for you as a reminder to call the other TAO to ask for a transfer, if appropriate.

The applicant is removed from the view when the case is transferred to your TAO or the RFA status changes from Pending to Active or Denied by being dispositioned.


Pending Applications/Reinstatements

This view lists information for applications or reinstatements assigned to you that have a pending status. The Due Date (30 days from the date of application), Days (number of days in the application process), and Type (application, reinstatement) fields are used to help you in the timely tracking of an application or reinstatement. “Days” is the number of days since the application date. Document Column indicates if the INT-1 and INT-2 Notices have been sent for the case. The information is sorted by Due Date.

If the Due Date for an application must be extended, you must access the Program Change page in the Case maintenance workflow. This page enables you to show that the Due Date for a case should be extended. After you change the Due Date, the Due Date on the Pending Applications View will display the new date. The INT-1 and INT-2 Notices for the case also become available for printing.

A column titled PBJS will display and track those clients in the Pre-Benefit Job Search Screening process and will provide: Screening not completed, Log 1 sent, Exempt, Log 1 returned.

The applicant is removed from the view when an application or reinstatement is no longer pending.

This view will also have the Has Employment column to alert you when Work Number information exists that has not been dispositioned.


Pending EBT Card Request

This view lists grantees who have requested an EBT card for themselves and/or for an Assisting Person who has an assisting person role in Authorized Rep - EBT, Authorized Rep/Agency – EBT, Authorized Payee – EBT. The view lists only Pending EBT Card Requests.

The client will be removed from the view when the status is not Pending.


Pending TAFDC Extension Requests

This view lists all of your TAFDC clients who have a pending or approved request for an extension of benefits beyond the 24-month period and are not yet a TAFDC Extension case.

Clients will no longer appear on this view when the request is denied or approved.

This view will also have the Has Employment column to alert you when Work Number information exists that has not been dispositioned.


Reevaluation Due

This view lists your cases that require a review and have an End Date that has already expired or will expire within the next 60 days.

The client will no longer appear on this view when the Reevaluation Initiation Date is set.

This view will also have the Has Employment column to alert you when Work Number information exists that has not been dispositioned.

For TAFDC cases on the list, you must schedule a reevaluation appointment by the 30th day before the reevaluation end date.  If you do not schedule by day 30, an appointment will be automatically sent to the client with a specific date and time (occurring during the core hours between 10 AM to 2 PM). When this occurs, a narrative will be automatically entered on the Narrative tab detailing the date, time and type of appointment.


Rejected Referrals

This view lists referrals that were found to be incomplete by the Fraud, Investigations and Data Matching (FIDM) Unit at Central Office and were returned to you via BEACON for follow up. The state of the referral is New Referral and the status is Pending.

The client will be removed from this view when the Referral status becomes something other than Rejected after you select the Referral Action of Resubmitted or Canceled.


Verifications Due

This view lists

  • all active or pending clients who have been sent a Verification Checklist, for which there still remain unverified items with the same date, and
  • all active and pending clients who have been sent an External Match Notice, for which the Match is still not dispositioned

If there are mandatory verifications due on the VC-1 for an initiated and conducted TAFDC reevaluation, and there are no scanned verification documents with a received date on or after the reevaluation date, BEACON will automatically close the TAFDC case for “Fail to submit required verifications.” The closing will have a 10 day pending period. A narrative will display on the Narrative tab that the TAFDC case is closing due to a missing mandatory verification.

The client will no longer appear on the view once all outstanding verifications associated with a Verification Checklist have been returned.
