External Agency Matches Views
This group of views contains information collected from matches with external agencies such as the Department of Children and Families (DCF) and Department of Revenue (DOR).
External Agency matches are produced when new or changed information is received for a client. If the information is new or changed, data from the match are provided for you and/or your supervisor to review and update, if appropriate, on the Features of the Match Detail Page. After the information is updated on the Match Detail page, no further information concerning the specific match will appear as a view. However, if there is an additional match at a later date for the same information, data from the new match will be provided as a view to be updated on the Match Detail page, if appropriate.
All matched data must be reviewed in conjunction with case information to determine if the match information is consistent with the case information and to select a disposition for the match. Appointments must be scheduled with the client, if appropriate, to discuss the results of the match and to provide appropriate verifications, if required.
The External Agency Matches group consists of the following six views:
- DCF Placement – This view is used by Central Office Data Matching staff to evaluate placement information when the Department of Children and Families (DCF) has reported one of the following: a child has returned home; a child has been placed in foster care; a child has been placed by DCF in guardianship or adoption services; death of a placement child.
- Earned Income – This view lists earned income data reported by the Massachusetts Department of Revenue (DOR) through an external agency match.
- Enumeration Process (SSA) SSN Changes - This view lists grantees with Facsimile SSNs (991-997 in the first 3 positions) and nongrantees with System Generated SSNs (999 in the first 3 positions). The client will no longer appear on this view when his or her SSN is no longer a Facsimile/System Generated SSN (beginning in 99), or the client's case or status has changed to denied or closed.
- SSN Verification – This view is used to list Social Security number (SSN) discrepancies reported by the Social Security Administration (SSA) in reply to a verification request by the Department. Use this view also to monitor information changes for Alternate SSNs (which are used to identify clients who cannot be identified with a valid SSN) and to update cases to reflect changes.
- Unearned Income – This view lists unearned income data reported by the Department of Unemployment Assistance (DUA). This view is also used by designated Central Office staff when discrepant unearned income is reported by the Internal Revenue Service (IRS).
- SORB – This view is used by Central Office Data Matching staff to track applicants and clients who may not have registered as required with the Sex Offender Registry Board (SORB). No case manager action is required on this view. Clients required to register for SORB who fail to do so are ineligible for TAFDC and EAEDC.
