Completing Unvalidated Address Change Requests (SNAP)
For SNAP-only cases, unvalidated addresses reported via the Interactive Voice Response (IVR) system or through DTA Connect will become Actions. The FAW who is assigned the Action must conduct necessary research, call the client if needed, and resubmit or cancel the request.
Steps for Addressing Unvalidated Reported Address Changes
- after receiving the Validate Address action, check the box next to the action to select it
- click the blue Action Details button above the action list to view Action details and case status
- read through the check boxes to see what needs to be completed in the case
- close the Action Details box using the X button in the upper right-hand corner
- click the Green Begin button which will open the Unvalidated Address popup page.
On this page the following information will be displayed:
- the type of request that was made
- the client’s name
- the client’s reported phone number
- the client’s reported address
- the status of request
- comments
Note: The status will be set to Failed to indicate that the reported address failed to automatically validate. If you attempt to keep the status as Failed and click Save, a pop-up will appear instructing you to change the status to Re-process if the address is complete and Cancel if the unvalidated address should be disregarded
- click the i icon to access the Address Detail popup page
- make any corrections that need to be made to the address (i.e., correct spelling mistakes, remove unnecessary punctuation, search address online for any discrepancies)
Note: Sometimes removing the zip code and allowing BEACON to locate the correct zip code for the reported address resolves the issue
- attempt to validate the address by clicking Validate.
- If the address successfully validates, click Save. You must change the status to Re-process and close the Address Detail pop-up. This will prompt an SP-RMN form to be mailed to the client requesting updated information of address, phone number, household composition, shelter costs, utility costs, and voter registration status.
Note: Households on Simplified Reporting are not required to report an address change during the certification period. However, if the client does report a change to their residential address, then they are required to give us the associated shelter and utility expenses. If the address will not validate, place a call to the client to confirm their address:
- If the client provides new address information, update the address via the Address Detail popup page. If the address can be successfully validated, process the address following the directions in step 9: click Save, close the Address Detail popup page and update the request status to Re-Process.
- If the client doesn’t answer, leave a detailed voicemail message indicating that further action is needed to process their change of address request and to call the DTA Assistance Line for further assistance. If contact is unsuccessful, you must change the status to Cancelled and close the Address Detail pop-up.
Note: You must change the status to Cancel if the address is unable to be validated and client contact is unsuccessful. All addresses that are submitted to be Re-processed will automatically update in BEACON overnight.
- write a detailed narrative
- click the Save icon
- close the IVR Request-Unvalidated Address page using the X button in the upper right-hand corner
- Go the My Office and search for the client using the Client Search option
- Click Narrative and New, then enter a detailed narrative.
- Hit Save and close the page by using the X button in the upper right-hand corner.
