Entering information about clients applying for assistance on these pages will further define the assistance unit and help determine the benefit amount that the case will receive.
Voter Registration page
The Voter Registration page is used to ask voter registration questions and to collect voter registration information. See Voter Registration Overview
AU Mandatory/Responsible Page
The AU Mandatory/Responsible page lists the status of pending or active and the status date. This page also lists each of the household members with a status in the household of Present and the following information for each of them:
- The household member’s personal relationship to the grantee
- If the household member is applying for assistance in the grantee’s case
- If the household member is required to be (mandatory) included in the grantee’s case and the reason
- The household member’s responsibility in the grantee’s case, and
- The household member’s application date in the grantee’s case
Household members who have a pending or active status and a responsibility of “Recipient” in the case cannot be modified.
For the grantee’s TAFDC case do the following:
- select a household member from the select list
- enter the following data for the household member:
- If the grantee is applying for assistance for the household member click the Yes/No radio button. (The Applying response will be displayed but not available for update)
- If the household member is not applying, indicate if he or she is Mandatory inclusion in the case and select an Inclusion reason; or
- If the household member is not applying but is Mandatory inclusion, you are required to enter an Inclusion reason and depending on the Reason, to select a Responsibility
- click the Save button to update the household member’s information in the select list
- repeat the first three steps for each of the household members
- click Next to save your entries or changes and go to the next page in the workflow, or
- click Finish to save your entries or changes and to exit the page and the workflow
Setting this information correctly will ensure that a grantee’s case is calculated correctly.
For each pending or active category of assistance, you must review which household members are applying for assistance. For pending cases, applying and application dates (entered on the Applying for Assistance page) will be displayed on this page and if the applying status is Yes, then Mandatory is set to Yes and cannot be updated. Once you save this page and you wish to change the Applying Status to “No” you must go to the AU Composition Results page to deny the case.
- For any household member who is applying, the inclusion reason defaults to ”Recipients Request” and the responsibility defaults to ”Recipient” (no selection is necessary).
- For household members who are not applying and not mandatory included, the inclusion reason and responsibility default to “None” (no selection is necessary). These are Basic Persons.
-
Note: The exception to this is if the person was previously an Assessed Person. Even if they are not applying for benefits at this time, the person will be an Assessed Person (not Basic Person).
-
- For household members who are not applying, you need to indicate that they are mandatory included and enter their inclusion reason. To select the Inclusion reason if the person is not applying but the Mandatory inclusion status is Yes, the following choices are selectable:
TAFDC
- Deemor (who is an assessed person even though not receiving benefits)
- Dependent Child
- Parent of a Dependent Child
- Sibling of Dependent Child
- Used For Elig Determination
- SSI Grantee/Other Parent
These people will also be considered responsible and you need to enter their responsibility:
- for TAFDC, when the Inclusion Reason is Dependent Child, Parent of a Dependent Child, Sibling of a Dependent Child, SSI Grantee/Other Parent or Spouse, the Responsibility Field defaults to Recipient (no selection is necessary)
- for TAFDC, when the Inclusion Reason is Deemor, you must select one of the following from the Responsibility field drop-down list based on the person selected and the case:
- Ineligible Noncitizen
- Parent of a Teen Parent
- Spouse of Pregnant Woman, or
- Stepparent
- for TAFDC, when the Inclusion Reason is Used for Eligibility Determination, you must select one of the following from the Responsibility field drop-down list:
- Dependent Child – Adoption Assistance
- Dependent Child – Foster Care, or
- Dependent Child – SSI
- for TAFDC, when the Inclusion Reason is SSI Grantee/Other Parent, you must select the following from the Responsibility field drop-down list:
- SSI Recipient
This information is used to create cases on the AU Composition Results page. Any household member who is not applying or mandatory inclusion is not part of the case, except when the household member who is not applying or mandatory inclusion is the grantee. In this situation, the grantee is part of the case with a responsibility of None.
The reason of “You are an Ineligible grantee” needs to be selected by you on the AU Composition Results page.
AU Composition Results Page
This page lists cases within the household and the associated clients based on all the information you entered in the Household Composition; AU Composition; and AU Composition Detail pages.
There are two tabs on the AU Composition Results page. The AU tab is used to add or change reasons for denial or closure of cases. The AU Member tab is used to add or change reasons for denial, closure or ineligibility of clients. Some of the client reasons are associated with sanctions; when they are added, sanction data will automatically be added for the client.
Sanctions Page
The Sanctions page is used to maintain sanctions applied against a client for a particular program. The first tab on this page (Sanction tab) allows you to add and remove a sanction. The second tab (Good Cause tab) is used to collect additional data related to Good Cause sanction removal reasons.
Interview Page
The Interview page is used to capture information about the application, reevaluation and recertification interview. Case managers are required to complete this page for all clients during these interviews. Its completion is valuable for customer service, program assessment and overall program management. See TAFDC Application Interview, Interview Page.
