Voter Registration Page

The Voter Registration page is used to ask voter registration questions and to collect voter registration information. See Voter Registration Overview

AU Mandatory/Responsible Page

The AU Mandatory/Responsible page lists the assistance unit status of pending or active and the assistance unit status date. The page also lists each of the household members with a status in household of Present and the following information for each of them:

  • The household member’s personal relationship to the grantee.
  • If the household member is applying for assistance in the grantee’s assistance program.
  • If the household member is required to be (mandatory) included in the grantee’s assistance program and the reason.
  • The household member’s responsibility in the grantee’s assistance program.
  • The household member’s application date in the grantee’s assistance program.

Household members who have a pending or active status and a responsibility of Recipient in the assistance program cannot be modified.

For EAEDC

  1. select a household member from the select list into the tab folder
  2. enter the following data for the household member:
    1. If the grantee is Applying for Assistance for the household member.  (The Applying for Assistance response will be displayed but available for update)
    2. If the household member is not applying, indicate if he or she is Mandatory Included in the case and select an Inclusion reason.
    3. If the household member is not applying but is Mandatory Included, you are required to enter an Inclusion reason and depending on the Reason, to select a Responsibility.
  3. click Save to update the household member’s information in the select list
  4. repeat the first three steps for each of the household members
  5. click Next to save your entries or changes and go to the next page in the workflow, or
  6. click Finish to save your entries or changes and to exit the page and the workflow

Setting this information correctly will ensure that a grantee’s assistance program(s) is calculated correctly.

For each pending or active assistance program, you must review which household members are applying for assistance.  For pending cases, Applying and Application dates (entered on the Applying for Assistance page) will be displayed on this page and if the Applying status is Yes, then Mandatory is set to Yes and cannot be updated.  If required, you can modify the original applying for assistance and application date response.

  • For any household member who is applying, the inclusion reason defaults to Recipients Request and the responsibility defaults to Recipient (no selection is necessary).
  • For household members who are not applying and not mandatory included, the inclusion reason and responsibility default to None (no selection is necessary). These are Basic Persons.
  • For household members who are not applying, you need to indicate that they are mandatory included and enter their inclusion reason.  Selecting the Inclusion reason should be done as follows:

If the person is not applying but the Mandatory Inclusion status is Yes, the following are the selectable choices (broken down by program):

EAEDC

  • Deemor

These people will also be considered responsible and you need to enter their responsibility:

  • for EAEDC, when the Inclusion Reason is Deemor, you must select one of the following from the Responsibility field drop-down list based on the person selected and the assistance program:
    • Ineligible Noncitizen
    • Noncitizen Sponsor

This information is used to form cases on the AU Composition Results page. Any household member who is not applying or mandatory is not part of the case, except when the household member who is not applying or mandatory is the grantee.  In this situation, the grantee is part of the case with a responsibility of None.

The reason of "You are an Ineligible grantee" needs to be selected by you on the AU Composition Results page.

AU Composition Results Page

This page lists cases within the household and the associated clients based on all the information you entered in the Household Composition; AU Composition; and AU Composition Detail pages.

There are two tabs on the AU Composition Results page.  The AU tab is used to add or change reasons for denial or closure on cases.  The AU Member tab is used to add or change reasons for denial, closure or ineligibility on clients.  Some of the client reasons are associated with sanctions, so when they are added, sanction data will automatically be added for the client.

Sanctions Page

The Sanctions page is used to maintain sanctions applied against an assessed person for a particular program. The first tab on this page (Sanction tab) allows you to add and remove a sanction. The second tab (Good Cause tab) is used to collect additional data related to Good Cause sanction removal reasons.

Interview Page

The Interview page is used to capture information about the application, reevaluation and recertification interview. Case managers are required to complete this page for all clients during these interviews. Its completion is valuable for customer service, program assessment and overall program management.
