Voiding an Approved Invoice - Protective Payments

A protective payment invoice may be voided by a supervisor in a TAO at any time after it has been authorized. 

The reasons for voiding an invoice include:

  • Service not used by the recipient
  • Service not provided by the vendor, and
  • Other

Supervisors who have authorized a particular protective payment may void that protective payment invoice.  In addition, TAO managers may void any protective payment issued in their TAO.

To void a protective payment invoice:

  1. go to the My Office tab after selecting the appropriate client
  2. select Views 
  3. select the Special Services Payment view heading
  4. select the Pending Payroll Invoices view.  This view will appear with a list of all of your clients who have a released protective payment.  You may slide the bottom scroll bar to see all of the information about the Invoice
  5. click the check box next to the appropriate Invoice
  6. select the Invoice icon.  The invoice will appear
  7. select the Add Event button. The Add Event popup will appear 
  8. select Void Invoice from the drop-down list.  Click the Select button.  The Event - Void Invoice page will appear
  9. select the appropriate Reason from the drop-down list:
    1. Other
    2. Service Not Provided by the Vendor
    3. Service Not Used by the Recipient

You may enter an explanation for the voiding of the invoice in the Comments field

  1. click the Void button
  2. when you click the Void button, the Confirmation popup will appear with the message: “Do you wish to Void this invoice for further processing in BEACON?  Click Yes to proceed with Invoice Voidance.  Click No to exit without Voiding the Invoice.”
  3. click the Yes button to void the invoice.  The invoice will be visible with the Voided date
  4. click Save to complete the process.  After the save, the Save button will be grayed out
  5. close the Invoice page

If the invoice is voided, no further action can take place with it.  It will be removed from the original view and appear in the Discontinued Invoices view for 60 days after the voiding.  The voided Invoice will be visible to the person who created it. 

If you know the details of an invoice, you may use Invoice Search to find the Invoice.  Once you have brought up the invoice, go to Step 7 above and proceed.
