Dismissing an Action

There will be times when an Action cannot be completed or brought to an exit-able step requiring that the Action be dismissed. Examples of appropriate times to dismiss an Action include:

  • You are assigned an in-person application, but the client leaves the office without being seen;
  • You are assigned an Action that was already completed by someone else (duplicate Action);
  • You are unable to reach an exit-able step because of a BEACON error and a ticket has been called in; or
  • You are assigned an Action that requires telephone contact with a client at 7:15 in the morning.

When an Action is dismissed, a detailed description of why the Action was dismissed must be entered on the Action Detail page with the copy to ECF checkbox checked.

Note: The BEACON Action Engine is programmed not to assign Actions that obviously require client contact by phone between 7:00 AM and 8:00 AM. SNAP applications or recertifications, for example, will not be assigned first thing in the morning. If an Action requires client contact by phone before 8:00 AM, the Action must be dismissed. In such scenarios, the dismissal reason selected must be “Client not available” and the narrative must read “Assigned Action dismissed as it requires client contact and was assigned before 8:00 AM.”


Steps for Dismissing an Action From the My Actions Page

  1. on the My Actions page check the box next to the Action
  2. click the red End button on the My Actions page
  3. a popup dialog box will appear with the question “Do you wish to Dismiss the Action?” Click the OK button, which will open the Action Details page
  4. on the Action Details page, the Status Dismissed will populate. Use the dropdown box to select the dismissal reason
  5. if the Action still needs to be completed, create a Follow-Up Action
  6. in the Comments section, write a detailed narrative explaining the reason that the action was dismissed and describing any action that was taken on the case
  7. click the Save icon
  8. close the Action Details page using the X button in the upper right hand corner

Important: If the Action still needs to be completed, create a Follow-Up Action.


Steps for Dismissing an Action From the Electronic Case File

  1. on the My Actions tool bar at the top of the page, click the red End button in the upper right hand corner
  2. a popup dialog box will appear with a warning statement “If you end the action on this step you will need to add a dismissal reason.” Click the OK button, which will open the Action Details page
  3. on the Action Details page, the Status Dismissed will populate. Use the dropdown box to select  the dismissal reason
  4. if the Action still needs to be completed, make sure to create a Follow-Up Action
  5. click the Action Notes popup button (“i” magnifying glass icon­) to open the Action Notes popup page
  6. write a detailed narrative explaining the reason that the action was dismissed and describing any action that was taken on the case
  7. click the Save icon
  8. close the Action Notes popup page using the X button in the upper right hand corner
  9. click the Save button
  10. close the Action Details page using the X button in the upper right hand corner

Important: If the Action still needs to be completed, create a Follow-Up Action.
